Team
Open the Team page at https://clickcollect.coffee/portal/staff/ to manage access and location assignment.
The current portal uses people with roles, not named team groups. If you are looking for “teams”, use the Team page to add each person and assign them to the right location or locations.
How roles work
| Role | What the role can do |
|---|---|
| Owner | Full account access, including owner management |
| Admin | Full portal access |
| Manager | Orders plus categories, drinks, and extras |
| Staff | Orders only |
Owners and admins always have all-location visibility. Managers and staff can be assigned to specific locations.
Add a team member
1. Open Team and review the current member list
The page shows role badges, assigned locations, active state, and the current usage summary for billable team capacity.

Use the page action to open the member form. Existing records can also be opened with Edit from the list.

The form includes:

If the role is Owner or Admin, the page treats the person as an all-location user.

4. Use Assigned locations for managers and staff
The Assigned locations multi-select lets you attach a person to one or more branches.
- Leave it blank only if the page allows the person to work across all locations.
- Owners and admins are treated as all-location users automatically.

After saving, confirm the person now shows the correct:
- Role badge
- Assigned locations
- Active badge

6. Watch for team-member billing prompts
Adding an active non-owner can trigger billing if the account has no open team-member capacity left for the current cycle.
7. Handle owner changes carefully
Only the current owner can add, edit, or remove owner-level access.

- Give managers the minimum access they need instead of defaulting to admin.
- Keep inactive people on inactive status instead of deleting them immediately if you still need their audit trail.
- Recheck location assignment every time a branch opens, closes, or changes hours.
