Billing

Open the Billing page at https://clickcollect.coffee/portal/billing/ to review your subscription, payment method, usage, invoices, and statements.

What this page covers

  • Card setup and card replacement
  • Recurring monthly total and next billing date
  • Product, team-member, and location usage
  • Add-on charges and scheduled reductions
  • Invoices and billing statements

How billing works

The page combines your base plan with any active add-ons. Add-ons are tied to the resources you are using beyond the included plan capacity.

  • Products can trigger extra product blocks.
  • Team members can trigger extra team-member blocks.
  • Locations can trigger extra location blocks.

If you still have open paid capacity in the current billing period, the next item you add uses that already-paid slot before creating another charge.

Add or update your card

1. Open Billing and review the Payment Method card

If a card is already active, the card brand and last four digits appear here. If not, you will see the setup action instead.

2. Select Add Card Details or Update Card Details

Use Add Card Details for first-time setup and Update Card Details when you need to replace the current card.

3. Complete the payment setup flow

Finish the hosted card setup and return to the Billing page. Once the card is active, the payment method card updates with the saved card details.

Understand your recurring total

4. Review Recurring Monthly Total

This card is your billing summary. Check:

  • Current monthly amount
  • Billing status badge
  • Next billing date
  • Estimated next payment
  • Trial or grace-period messaging if it applies
  • Billing lock warnings if an account is overdue

Understand add-ons and how to add them

5. Review the Current Usage Breakdown cards

There are separate cards for products, team members, and locations. Each card shows:

  • Included capacity
  • Current usage
  • Extra blocks in use
  • Monthly add-on total
  • Open paid capacity already available this cycle

6. Add more products, team members, or locations from their own portal sections

You do not normally add an add-on from the Billing page directly. Instead, the add-on is created when you perform the operational action that pushes usage over the included plan limit.

Examples:

  • Adding more drinks in Shop Manager can trigger a product add-on.
  • Adding another active person in Team can trigger a team-member add-on.
  • Adding another branch in Locations can trigger a location add-on.

If the account has no open capacity left, the portal shows a billing confirmation during that action.

7. Reduce unused add-ons when the option appears

If you have reducible blocks, the Billing page exposes a reduction action. Reductions are scheduled for the next billing date instead of cutting access immediately.

Look for scheduled messages such as “Scheduled to stop renewing on …” on the relevant usage card.

Review invoices and statements

8. Open the Invoices & Statements tab

Use this tab to download individual invoices and review statement windows.

  • Invoices are listed individually.
  • Statements can be viewed by available window ranges.

Good practice

  • Treat the monthly total card as the source of truth for your current recurring amount.
  • Check usage cards after adding products, people, or branches so you understand whether you consumed open capacity or created a new billable block.
  • Remove or deactivate unused operational items before billing day if you want the next cycle to renew lower.
